Your privacy in short: Your meeting content is encrypted and stored in your account, and is also used to power assistant features that answer your questions about your own meetings. We never sell your data or use it for advertising, and our AI provider, OpenAI, does not train its models on your audio or transcripts.
MinutedAI is a product operated by LightWork Technology FZE LLC, a company registered in Ajman, United Arab Emirates ("we", "our", or "us"). We are committed to protecting your privacy. This Privacy Policy explains what information we collect, how we use it, who we share it with, and what rights you have in relation to it. It applies to your use of the MinutedAI mobile application and website at minuted.ai (together, the "Service"). By using the Service, you agree to the collection and use of your information in accordance with this policy.
We collect the following categories of information: • Account information: your name, email address, job title, industry and how you heard about us when you register. • Audio recordings: when you use the recording feature, audio is captured on your device and sent securely to our AI provider, OpenAI, solely to generate a text transcript. OpenAI processes the audio under its own privacy and data-retention policies, and under its API terms does not use it to train its models. • Transcripts and meeting outputs: the text transcript of your meeting, along with AI-generated outputs (summaries, minutes, actions, decisions, email drafts), are stored securely in your account. • Usage data: information about how you interact with the Service, such as features used and session frequency, to help us maintain and improve the Service. • Payment information: if you subscribe to a paid plan, payment details are handled entirely by our payment processor. We do not store your card details. • Device information: basic device identifiers and operating system version for diagnostic and compatibility purposes.
You are solely responsible for ensuring that all participants in any meeting you record are aware of and have consented to being recorded, in accordance with the laws of your jurisdiction. Recording consent laws vary by country and region. MinutedAI does not obtain consent on your behalf and accepts no liability for unlawful recording.
We use your information to: • Provide, operate and improve the Service. • Process audio recordings to generate text transcripts. Audio is sent securely to our AI provider, OpenAI, for this purpose and is not used by us for any other purpose. • Generate meeting outputs (summaries, minutes, actions, decisions, email drafts) from your transcript using our AI provider, OpenAI. Under the OpenAI API terms, this data is not used to train AI models. • Power assistant features (in the app and, if you connect it, in Slack) that answer your questions about your own meetings. When you ask a question, the relevant meeting content — such as your transcripts, summaries and outputs — is sent to our AI provider, OpenAI, to generate the answer. Under the OpenAI API terms, this data is not used to train AI models. • Manage your account, subscription and billing. • Send you service-related communications about your account. • Send you marketing communications about MinutedAI updates and offers, where you have opted in. You may opt out at any time by clicking the unsubscribe link in any email or contacting us at privacy@minuted.ai.
We share your data with the following categories of third-party service providers, solely to operate the Service: • Cloud infrastructure and database provider: stores your account data, meeting outputs and usage records securely. • AI provider (OpenAI): receives audio recordings to generate text transcripts, meeting transcripts to generate summaries and other outputs, and relevant meeting content when you use the assistant features to answer your questions. OpenAI handles this data under its own privacy and retention policies, and its API terms confirm that data submitted via the API is not used to train its models.
Your account data and meeting content are stored on secure cloud infrastructure. All data is encrypted at rest using AES-256 encryption, and all data transmitted between your device and our servers is encrypted in transit using TLS 1.2 or higher. Database backups are encrypted as well. We implement appropriate technical and organisational measures to protect your data against unauthorised access, alteration, disclosure or destruction. Audio recordings are processed only to generate your transcript. Meeting transcripts and outputs are stored in your account until you delete them.
We retain your account information for as long as your account is active. Meeting transcripts and outputs are retained until you delete them or close your account. Usage data is retained for a maximum of 24 months. If you close your account, we will delete your personal data within 30 days, except where we are required to retain it for legal or regulatory reasons.
Depending on your location, you may have the following rights in relation to your personal data: • The right to access the personal data we hold about you. • The right to correct inaccurate or incomplete data. • The right to request deletion of your data. • The right to restrict or object to certain processing. • The right to data portability. • The right to withdraw consent where processing is based on consent. To exercise any of these rights, contact us at privacy@minuted.ai. You may also delete your account and associated data directly from the app. We will respond to all requests within 30 days.
MinutedAI is not directed to children under the age of 13. We do not knowingly collect personal information from children under 13. If you believe we have inadvertently collected such information, please contact us at privacy@minuted.ai and we will delete it promptly.
Our service providers may process your data in countries outside the United Arab Emirates. Where this occurs, we ensure appropriate safeguards are in place in accordance with applicable data protection law and the UAE Personal Data Protection Law (PDPL).
This Privacy Policy is governed by the laws of the United Arab Emirates. Any disputes arising in connection with this policy shall be subject to the exclusive jurisdiction of the courts of the UAE.
We may update this Privacy Policy from time to time. Where changes are significant, we will notify you by email or through the Service before they take effect. The date at the top of this page reflects when the policy was last updated. Your continued use of the Service after changes take effect constitutes your acceptance of the updated policy.
