Getting started
Sign up
Open the MinutedAI app and tap Sign up. Enter your full name, email and password. Optional fields like job title and industry help us improve the product — they're not required.
Your password must include at least 8 characters, an uppercase letter, a lowercase letter, a number, and a special character.

Recording a meeting
Start recording
Tap the Record card on the Home screen. The recording screen shows a live timer and audio waveform. MinutedAI captures audio directly on your device — nothing is sent to the cloud during recording.
Place your phone on the table between participants for the best audio quality. MinutedAI works with any meeting — in person, on a call, or a mix of both.
Screen lock
You can lock your phone screen while recording — MinutedAI continues capturing audio in the background. When you unlock your phone, the recording resumes exactly where you left off.
Stop and process
When your meeting is done, tap Stop. You'll be taken to the Output screen where processing begins automatically. A 30-minute meeting typically takes around 5 minutes to process.
You can leave the app while processing — it continues in the background and your outputs will be ready when you return.
Uploading a transcript
How to upload
Tap the Upload card on the Home screen. You can upload a transcript by:
Give your meeting a title (optional — we'll generate one if you don't) and tap Process.
Upload from the web
You can also upload transcripts from the web dashboard at minuted.ai/dashboard. The same processing happens server-side, and your outputs appear on both the app and web.
Your outputs
Every meeting generates six outputs. Navigate between them using the tab pills at the top of the Output screen.
Summary
3–5 concise bullet points capturing the highest-level takeaways. Written for someone who wasn't in the meeting and needs to understand what happened in under 60 seconds. Includes names, projects, and concrete outcomes where mentioned.
Key themes
Short 2–3 word theme tags that identify what the meeting covered. These also appear on your meeting cards in the Home and Search screens, helping you tell meetings apart at a glance.
Minutes of Meeting
Formal meeting minutes in professional third-person past tense. Captures key discussion points, decisions, risks, and next steps with specific names, systems, and timelines.
Action Items
Every action identified in the meeting, each with an owner (if mentioned) and a due date (if stated). Actions can be marked as complete, and owners and dates can be edited. See Managing actions for details.
Decisions
A clear list of every decision firmly agreed upon during the meeting. Only explicit decisions — not suggestions or open questions.
Follow-up Email
A professional follow-up email with subject line, summary, key decisions, and next steps — ready to copy and send to attendees.
Full Transcript
The complete timestamped transcript of your meeting. Searchable with the built-in search bar — type a keyword to jump between matches.
Notes
A personal notes section where you can add your own observations after the meeting. Notes are saved to your account and sync across devices.
Audio playback
If the meeting was recorded (not uploaded), an audio player appears at the top of the Output screen. Scrub through the recording to hear specific moments.
Edit meeting title
Tap the pencil icon (✎) next to the meeting title to rename it. MinutedAI auto-generates titles, but you can customise them at any time.
Managing actions
Mark as complete
Tap the checkbox next to any action item to mark it as done. Completed actions show a strikethrough, a "Done" badge, and no longer trigger overdue warnings. Tap again to uncomplete.
Edit action owners
Tap an existing owner pill to change the name. If no owner was detected, tap the + Add owner pill to assign one. Each owner gets a colour-coded pill based on their name.
Add or edit due dates
Tap an existing due date to change it, or tap + Add date to set one. Dates use DD/MM/YYYY format. If a due date has passed and the action isn't marked complete, it shows as Overdue.
Organising with folders
Folders help you group meetings by project, client, or team. All folder features are available to Pro and Pro+ users.
Creating a folder
On the Search screen, tap the dashed + New folder pill in the folder row. Type a name and tap Create. You can also create folders from the Output screen when assigning a meeting.
Assigning meetings to folders
Open any meeting and tap the folder icon in the title row. Select an existing folder or create a new one. The meeting card will show a folder badge on the Home and Search screens.
Filtering by folder
On the Search screen, tap any folder pill in the row to filter your meetings. Only meetings in that folder will show. Tap again to clear the filter.
Renaming a folder
Long press on a folder pill (hold for about 1 second) to open the rename/delete menu. Choose Rename and type the new name.
Deleting a folder
Long press on a folder pill and choose Delete. Deleting a folder does not delete your meetings — they simply become unassigned and appear in the "All" view.
Removing a meeting from a folder
Open the meeting, tap the green folder pill in the title row, and tap Remove from folder at the bottom of the picker.
Sharing outputs
Share a single output
On the Output screen, tap the small ↑ button in the bottom bar to share the currently active tab. This copies the content formatted with the meeting title and sends it via your device's share sheet.
Share all outputs
Tap Share all outputs in the bottom bar to share all six outputs at once. The shared content includes section headers for each output type.
Web dashboard
Accessing your meetings online
Visit minuted.ai/dashboard and sign in with the same email and password. All your meetings sync automatically between the app and web.
What you can do on the web
Account & billing
Edit your profile
In the app, go to the Account tab and tap Edit Profile. You can update your name and email address. On the web, go to the Account tab in the dashboard.
Upgrade your plan
Visit minuted.ai/pricing to upgrade from Free to Pro or Pro+. Subscriptions are managed securely through Stripe. You can pay monthly or annually (save ~30%).
Manage billing
If you're on a paid plan, you can manage your subscription, update payment methods, and view invoices through the Stripe customer portal. Access it from the Account tab on the web dashboard.
Forgot password
On the sign in screen, enter your email address and tap Forgot? We'll send you a password reset link to your email. Click the link to set a new password at minuted.ai/reset-password.
Cancel your subscription
You can cancel at any time from the Stripe customer portal — no cancellation fees. Your paid features remain active until the end of your current billing period.
Privacy & security
Audio stays on your device
During recording, audio is captured and stored locally on your phone. It is never uploaded to the cloud during recording. When you tap Process, the audio is sent transiently to generate a transcript, then immediately deleted from our servers.
How processing works
Your audio is sent to a transcription service (OpenAI Whisper) solely to generate a text transcript. The audio is processed transiently and never retained. The transcript is then analysed by our AI to generate your six outputs.
Encryption at rest
All meeting outputs stored on our servers are encrypted at rest using AES-256 encryption. The encryption key is never stored alongside your data — it lives exclusively in our secure server environment.
No AI training
Your meeting data is never used to train AI models. Your content is not shared with any third parties beyond the transient transcription step.
